Welcome to the White Hart Renaissance Faire & Event Vendor Application!

Thank you for your interest in becoming a vendor at White Hart Renaissance Faire and our 2025 events. Whether you are applying for our 20th Anniversary Faire, Valhalla Blooms: A Viking Spring Faire, Feast of the Goblin King, White Hart Christmas, Haunted Trails, or The Fae Masquerade Ball, we are excited to have you join our community of talented artisans, food vendors, and performers.
This year marks a milestone with the 20th anniversary of our faire, and we’re eager to build on the magic and growth we’ve experienced over the years. We offer a mix of historical, fantasy, and holiday-themed events designed to bring together both our local community and visitors from afar. With something for everyone, there’s never been a better time to be a part of our events.

Viking Age - Norse Mythology and Culture
Step into the world of the Vikings with Valhalla Blooms! This new event will highlight Norse mythology, Viking reenactments, combat demonstrations, and traditional crafts. Visitors will learn about Viking history, the gods, and the sagas that shaped their culture. Vendors can offer Viking-inspired crafts, leather goods, jewelry, food, and more. Guests will enjoy axe throwing, spear throwing, archery, and even Viking shield wall formations, creating a truly interactive and immersive experience.

1565 England - The Progress of Queen Elizabeth I
Celebrate two decades of the faire in 2025! This year’s event will focus on Queen Elizabeth’s royal progress and the festivities surrounding her visit to our village. Expect a combination of historical reenactments, artisans, street performances, live music, and unique food offerings. It will be a joyous celebration of the Renaissance, honoring our 20th season of bringing history to life. With our immersive setting, we invite vendors to engage with patrons through period-appropriate goods, crafts, and performances.

Join us for a mystical evening at The Fae Masquerade Ball. This magical event will be a night of dancing, music, and enchantment, where guests can immerse themselves in the world of fae, magic, and mystery. Vendors can provide elegant costumes, masks, fantasy-inspired jewelry, and decor. It’s an evening for all ages to enjoy the beauty of the fae realm and experience the fantasy world through interactive performances and magical ambiance.

Fantasy Halloween - Goblins, Fae, and Mystics
This fantastical event celebrates the world of goblins, fae, and magical creatures! Set in an enchanted forest, visitors will encounter immersive storytelling, whimsical performances, and vibrant characters. Guests can choose sides, participate in quests, and enjoy a magical feast. Vendors can sell themed food, magical trinkets, fantasy armor, accessories, and more. It’s a fun-filled event that blends fantasy with the enchanting fall season.

Myths and Legends from Around the World
Journey through the dark woods on our haunted trails, where you’ll encounter legends from different cultures. This spine-chilling event brings myths and folklore to life with haunted houses, eerie performances, and fantastical creatures lurking in the woods. It’s the perfect event for those seeking thrills and frights, and vendors can offer spooky goods, themed food, and ghostly trinkets to add to the chilling atmosphere.

Tudor Christmas – 16th Century Yuletide Traditions
Celebrate the warmth of the holiday season with White Hart Christmas, set in Tudor England. This event will offer a festive mix of medieval music, dancing, caroling, and historic holiday traditions. Vendors can sell holiday treats, crafts, and hand-made goods that reflect the charm and elegance of a Tudor Christmas. Expect a grand feast, historical games, and a magical atmosphere perfect for families and patrons of all ages.
Rules & Regulations
Booth Size and Setup
Standard Booth Size: Each vendor space is 12' x 12'. If you require a larger booth, we provide space in 12' x 12' increments at 50% upcharge. We'll require you to provide the appropriate size of the footprint, including all displays and ropes, in your application.
Booth Setup & Breakdown: Vendors must set up their booths and have vehicles off site at least 30 minutes before the start of each event. Please be ready for customer traffic before opening. Breakdown can begin at the close of the event, but vehicles cannot enter the site until all patrons have exited. Breakdown must be completed within 48 hours of the close of your concurrently run weekends.
Canopy and Tent: All vendors are required to bring their own canopy, tent, or covering for their booth. If you do not have a canvas tent, pop-up tents are allowed, but the manmade material must be covered. We have pop-ups with covers, wooden lean-tos, and permanent structures available to rent on a limited basis per weekend.
Liability, Insurance
Vendor Liability: Vendors must carry their own insurance to cover any potential damages or accidents. By signing the vendor agreement, you acknowledge that White Hart Renaissance Faire and its sponsors are not responsible for any personal injury or damage to property during the event.
Fire Safety: If using flame-based products, such as candles, lanterns, or open flame cooking, vendors must provide their own fire extinguishers, which will be checked during setup.
On-site Security: We will provide security overnight for the event dates, but vendors are responsible for securing their own items. Do not leave valuables unattended in your booth overnight.
Booth Design Requirements
Aesthetic: We strive to maintain a period-appropriate atmosphere, so your booth and decor should reflect the Renaissance or Tudor theme. Please avoid modern signage and materials. Wood, fabric, leather, and other period-appropriate materials are encouraged.
Prohibited Items: Please refrain from using modern plastic coverings, promotional materials, or items that break the historical ambiance of the event.
Costume & Attire
Dress Code: Vendors are encouraged to embrace the spirit of the Renaissance by dressing in period-inspired costumes. We do not require 100% Historically accurate attire but attendants and volunteers running vendor spaces must be dressed in clothing that matches the events theme. This is what sets our Themed Events apart from craft and street fairs. We welcome Tudor-style outfits, Viking outfits, fantasy characters, or even medieval traders, if the attire is family-friendly and respectful. You will be sent home for the day if you do not dress appropriately (without a refund.)
Modern Attire: Modern clothing is acceptable after and before hours, but it must not be visible to patrons during event hours.
Permits & Licenses
Food Vendors: Food vendors must obtain any necessary health permits and food handling certifications required by local health departments. This includes temporary permits for any food or beverages sold. Faire Management team must approve menu at least 60 days in advance of events.
Retail Vendors: Retail vendors must have any appropriateand valid business licenses or any necessary Retail Sales Tax License required by the State of Missouri (e.g. Massage Therapist) . Please submit a copy of your business license with your application.

Parking and Loading
Vendor Parking: All vendors are assigned designated parking areas in their day of packets for 2025. Please follow instructions from staff to ensure smooth loading and unloading. Vendors will be allowed to drive up to their booths for setup and breakdown but must park in vendor-designated areas at least 30 minutes before the start of the event.
Loading Zone: Loading and unloading must occur during designated set up times. Please ensure you are parked in the vendor parking area when not actively unloading.
Electricity & Water
Electricity: Limited electricity is available and must be requested in advance. Vendors requiring electricity must submit their request by the deadline. Power will be allocated on a first-come, first-served basis. Priority is given to Food Handlers and Medical Necessities.
Water: Vendors must bring their own water supplies if required. There are potable water stations available for drinking. If large quantities of water are needed, please make sure Faire Management team is notified well in advance.
Conduct and Behavior
Respectful Conduct: Please conduct yourself in a courteous and professional manner with patrons, fellow vendors, and event staff. Disrespectful behavior or harassment will not be tolerated.
Customer Interaction: Vendors are encouraged to engage positively with customers, answer questions, and share information about their products. The White Hart Renaissance Faire is a family-friendly event, and we want everyone to have an enjoyable experience.
Vendor Communication
Vendor Updates: We will keep all vendors informed of any changes, event updates, and vital information leading up to the event. Please make sure to check your email regularly. We may call, text or message by other means as we can too but email tends to be the fastest for the masses.

Cancellation and No-Show Policy
Cancellation Policy: Cancellations must be made at least 30 days before the event. Cancellations made within 30 days will not be eligible for a refund. If a vendor does not show up for the event without notifying us, they will not be allowed to participate in future events.
No-Call/No-Show Policy: Vendors who fail to show up for their scheduled days without prior notification will be excluded from future participation with no refunds issued for those dates. We rely on all vendors to help ensure the success of the event.
Rain, Shine, Hot or Cold
Weapon Policy
Peace Bonding: All weapons, including swords, daggers, and axes, must be peace-bound by event staff before entering the event. Weapons must remain sheathed and securely bound at all times. If you sale weapons please make sure your patrons are aware of this as well.
Live Steel Performances: Live steel demonstrations must be pre-approved by event management. These performances must adhere to all safety guidelines provided by the event.
Disorderly Conduct: Any disruptive behavior involving weapons will result in immediate expulsion from the event.
Controlled Substances, Alcohol, and Smoking/Vaping Policy
Alcohol: Minors under the age of 21 are strictly prohibited from consuming, handling, or purchasing alcoholic beverages. Alcohol consumption is only allowed in designated areas.
Controlled Substances: The possession or use of controlled substances is strictly prohibited. Anyone found with controlled substances will face immediate expulsion and possible legal action.
Smoking/Vaping: Smoking and vaping are not permitted on the fair's streets or in vendor booths during public hours. Designated smoking areas will be provided backstage for those who need to smoke.
Cleanliness and Photography Policy
Cleanliness: All facilities used by participants must be left in a clean, safe, and orderly condition upon the completion of the fair. Failure to do so will result in the requirement of a cleaning deposit for future events or exclusion from future events.
Photography and Filming: Participants agree to be photographed and/or filmed for publicity and historical records purposes. By entering the fairgrounds, participants release all rights to their likeness in promotional materials.
Commercial Photography: Commercial or professional photography/filming must be authorized by event management.
